Organizer checklist
A practical event planning checklist—from first decision to final scan
A ticketing platform cannot repair an unclear event plan. Use this checklist to align the experience, venue, capacity, ticket rules, buyer communication and entry operation before sales create pressure.
10 minute checklist
1. Event foundation
Define the purpose, intended audience and one clear reason the event should exist. Confirm the decision-makers, operating budget and the date by which the event must be viable.
- Purpose and audience written down
- Event owner and approvers named
- Working budget created
- Success measures agreed
- Cancellation decision date set
2. Venue, schedule and capacity
Confirm the venue in writing and plan for the full attendee journey: arrival, queue, entry, movement, accessibility, facilities and exit. Ticket capacity must reflect the safe, usable capacity—not simply the number you hope to sell.
- Venue agreement confirmed
- Start and end times include setup and breakdown
- Usable capacity approved
- Accessibility needs reviewed
- Entry and emergency routes understood
3. Ticket structure and pricing
Create only ticket categories that correspond to a real difference in timing, eligibility or access. Model total revenue at conservative, expected and sold-out scenarios, including service costs and taxes that apply to the organizer.
- Ticket names are understandable
- Benefits and restrictions documented
- Inventory does not exceed capacity
- Pricing scenarios reviewed
- Sales open and close dates decided
4. Public event information
Write an original description that answers what will happen, who it is for and what attendees should prepare. Confirm the public title, venue spelling, schedule, organizer identity, contact route and artwork before publishing.
- Public details proofread
- Poster readable on a phone
- Event URL tested
- Organizer profile approved
- Refund and change information available
5. Promotion and partnerships
Build a campaign around audience questions and decision points. Use descriptive links to the canonical event page. Give speakers, artists, venues, sponsors and community partners accurate copy instead of letting several conflicting versions circulate.
- Launch message prepared
- Partner link pack shared
- Reminder schedule planned
- Ticket milestones monitored
- Low-sales response agreed
6. Attendee support and event day
Make it easy to resolve missing emails, payment questions and accessibility requests before event day. Brief the check-in team on valid tickets, duplicate scans and escalation. Protect attendee data and never ask buyers to share a payment PIN or verification code.
- Support owner assigned
- Check-in devices and access tested
- Queue roles briefed
- Offline contingency discussed
- Post-event reconciliation scheduled
